Issuing stock to Works Orders

Issue stock to a Works Order to record the stock components or raw materials that were used in manufacture.

Issuing stock to a Works Order reduces the quantity in stock of each item and increases the build cost on the Works Order by the value of the stock that is being issued.

If the Allocate Stock option is ticked in Works Order Settings, the components can be allocated to the Works Order before being issued, but it is not a mandatory step.

If stock is allocated first, it is still possible to issue more stock to the order than has been allocated.

However, it is not possible to issue more stock of each component to the order than is available as Free Stock in the source warehouse(s).

Use the Issue Stock screen to issue stock for single or multiple works orders.

The quantity to issue of each component can be set manually or can be set to issue as much as possible automatically.

If a component to be issued is not already setup on the order, it can be added and then issued from within the screen.

Quantities entered must be valid for the stocked unit of the item. If not, they are automatically adjusted to the nearest appropriate value.

Component lines are colour coded to indicate on each line whether there is a shortage.

  • Black text indicates the item can be fully satisfied from stock.
  • Amber text indicates it can be partly satisfied but there is not sufficient for the full requirement.
  • Red text indicates there is no free stock of the component available.

Outcomes from Issuing stock to Works Orders

  • Component stock items are issued to the Works Order(s), reducing their stock levels in Stock Control.
  • The component Issued quantities are increased on the Works Order and, if components were allocated, the Allocated quantities for each component are decreased. This is visible in the Components tab of the Works Order record.
  • The Works Order Status will be set to Issued if all components are now fully issued, or Part Issued if any components are not fully issued.

 

To issue stock to multiple works orders

Open: Works Orders > Works Order List.

  • In the Works Order List, select all the works orders you want to issue stock for.
  • Select the Issue Stock button above the list view.
  • Set the Issue Date. It will default to today’s date but can be overridden.

 

To issue stock for a single works order

Open: Works Orders > Works Order List.

  • In the Works Order List, select the works order(s) to issue stock to.
  • Select the Issue Stock button above the list view.
  • Set the Issue Date. It will default to today’s date but can be overridden.

From the menu:

Open: Works Orders > Processing > Issue Stock.

  • Type or select the Works Order Number from the drop-down list.
  • Set the Issue Date. It will default to today’s date but can be overridden.

 

To Issue as much stock as possible

1. Tick the check box to automatically issue as much as possible of every line. This can be set to default as ticked using Allocate/Issue as much as possible by default option in Cim200 Works Orders > Utilities > System Set Up > Maintain Works Order Settings |General.

Note: If in Works Order Settings the option Allocate/Issue as much as possible by default is ticked and Auto Pick Traceable Quantities on Issue is not ticked, traceable numbers to issue must be selected for any traceable components as the Issue Stock screen is opened.

2. Leave the option next to it set to Issue.

3. If in Works Order Settings Allocate Stock is enabled, the quantity in the Issue Now column will be automatically set to match the Allocated column, to issue all allocated stock.

If in Works Order Settings Allocate Stock is not enabled, the quantity in the Issue Now column will be automatically set to as much as possible, up to the quantity required for each component, or the Free Stock level of the item, whichever is lower.

4. Click OK to complete the Issues.

 

 

To issue a specified quantity automatically

1. To issue the appropriate quantity required to make a certain number of the finished item, change the option from Issue to Suggest Qty.

2. Selecting Suggest Qty opens the Suggest Qty screen. Enter the quantity of the finished item you want to issue stock for and click OK to confirm. The Issue Now column will be updated to the required quantity for each component, or the free stock level, whichever is lower.

3. Click OK to complete the Issues.

 

To issue component quantities manually

1. Untick the check box . This can be set to default unticked using Allocate/Issue as much as possible by default option in Cim200 Works Orders > Utilities > System Set Up > Maintain Works Order Settings |General.

2. Select a component and click in the Issue Now column to manually enter the quantity to be issued.

  • A quantity can be entered up to the quantity still to be issued for each component, or the Free Stock level of the item, whichever is lower.
  • The quantity you enter must be valid for the stocked item. If not, it is automatically adjusted to the nearest appropriate value.

3. If the component is traceable, and in Works Order Settings the Auto Pick Traceable Quantities on Issue option is not ticked, traceable numbers to issue must be selected after entering the quantity to Issue Now.

  • If the component has already been allocated, the traceable numbers selected on allocation will default to be issued.
  • If the Auto Pick Traceable Quantities On Issue option is ticked, traceable numbers will be selected automatically but can be viewed and changed before saving, using the Select Traceability button.

4. Repeat the process for other items as required.

5. Click OK to complete the issues.

 

Amend traceable numbers to be issued

When a traceable component is set to be issued and the traceable numbers have been selected, either manually or automatically, it is still possible to view and correct the selected traceable numbers before completing the issue.

1. Select a traceable component.

2. Click Select Traceability to view the traceable numbers selected.

3. Make any changes as required. Once finished, ensure that the total selected still matches the Total Quantity at the bottom.

4. Click OK to complete any changes or click Cancel to exit without saving any changes.

 

To add components to the Works Order

Whilst issuing stock, components can be added to the order and issued within the screen. Adding components here will add them to the Order but not to the Bill of Materials.

1. Click Add Component.

  • The Add Component window appears.

2. Select the component you want to add from the Product Code drop-down list.

3. Enter the Quantity required for the order.

4. To add the component, click Add.

5. Enter the quantity to issue, if required.

6. Issuing this item will add it to the Works Order and perform the issue.

7. Click OK to proceed.

 

To remove components from the Works Order

Whilst issuing stock, components can be deleted from the order if they are not required. Deleting components here will remove them from the Works Order but not from the Bill of Materials.

1. Select a component line to be deleted.

2. Click Delete Component.

3. The component line is removed.
